How to Connect Microsoft Teams to ChatGPT (Step-by-Step)

March 26, 2026By ChatGPT.ca Team

If your team runs on Microsoft Teams, you know how quickly decisions and action items get buried in channels and threads. Now you can connect Teams to ChatGPT and query those conversations in plain English. No more scrolling through days of messages — just ask ChatGPT what you need.

This guide walks you through the full setup: connecting Microsoft Teams, querying conversations, building a Custom GPT for tracking sprint decisions, and managing access. We also cover PIPEDA considerations for Canadian businesses where Teams channels contain sensitive project data.

What You Need Before Starting

  • ChatGPT Plus, Team, or Enterprise — the free tier does not support connected apps
  • A Microsoft 365 account with Teams access
  • Admin approval (if your organization manages Teams integrations via IT)

Step 1: Open ChatGPT Settings

Log into chat.openai.com. Click your profile icon in the bottom-left corner, then select Settings. Navigate to Connected Apps (or Data Sources, depending on your plan). You should see Microsoft Teams listed alongside Google Drive and other connectors.

Step 2: Authorize Microsoft Teams Access

Click Connect next to Microsoft Teams. You will be redirected to Microsoft to sign in and approve permissions. ChatGPT requests read access to your Teams conversations — it does not post messages, create meetings, or modify anything in your Teams workspace.

Once you approve, you will be redirected back to ChatGPT with a confirmation that Microsoft Teams is connected.

Tip for IT admins:

If your organization uses Microsoft 365, your IT team may need to approve the ChatGPT integration in the Microsoft Teams admin center or Azure AD → Enterprise Applications before individual users can connect. You can also use Teams app permission policies to restrict which users can install the integration.

Step 3: Wait for the Initial Sync

After connecting, ChatGPT indexes your Teams messages. This typically takes a few minutes for most workspaces. You will see a confirmation once the sync is complete. Larger organizations with hundreds of channels may take longer.

Step 4: Query Your Conversations in Plain English

Open a new chat and start asking questions. ChatGPT will search your Teams conversations and reference the relevant messages. Here are some examples:

  • “Summarize the sprint planning discussion in #product-launches this week”
  • “What decisions were made about the API migration in the engineering channel?”
  • “Find all action items assigned to me across Teams channels this sprint”
  • “What blockers did the frontend team raise in standup this week?”

Real-world use case:

A Product Manager tracking three concurrent sprints can ask ChatGPT to summarize all decisions and blockers from the #product-launches channel this week, cross-reference with action items from standup threads, and draft a sprint status report — work that used to take an hour of thread-reading.

Step 5: Build a Custom GPT with Teams Knowledge

For repeatable workflows, create a Custom GPT that uses your Microsoft Teams conversations as its knowledge base. This turns ChatGPT into a dedicated assistant that follows your team's specific sprint tracking process every time.

  1. Go to Explore GPTs in the ChatGPT sidebar
  2. Click Create in the top right
  3. Name your GPT (e.g., “Sprint Decision Tracker”)
  4. Write instructions that define your sprint process, decision categories, and status report format
  5. Under Knowledge, connect your Microsoft Teams channels
  6. Test with real questions, then publish to your team

A Custom GPT is especially useful when multiple team members need the same workflow — tracking sprint decisions, preparing standup summaries, or pulling weekly status updates from channel conversations.

Step 6: Manage or Disconnect Access

To revoke access, go to Settings → Connected Apps and click Manage next to Microsoft Teams. You can disconnect entirely or adjust which channels ChatGPT can access. Disconnecting removes ChatGPT's ability to read your messages immediately.

Frequently Asked Questions

On ChatGPT Team and Enterprise plans, OpenAI does not use your data for model training. Your messages remain private to your workspace. For maximum security, use the Enterprise plan which includes SOC 2 compliance, SSO, and admin controls. If your Teams channels contain personal data covered by PIPEDA, review OpenAI's data processing terms before connecting.

The connector accesses channels and chats based on the authenticated user's permissions. Private channels the user belongs to are typically accessible, but the exact scope depends on the permissions granted during setup. Check with your IT team for granular access control.

No. The ChatGPT Teams connector provides read-only access. ChatGPT can search and summarize your conversations but cannot post messages, create meetings, or modify anything in your Teams workspace.

Yes. The Microsoft Teams connector is available on ChatGPT Plus ($20 USD/month), Team ($25 USD/user/month), and Enterprise plans. The free tier does not support connected apps. For Canadian businesses with multiple users, Team or Enterprise is recommended.

If meeting transcripts are stored in Teams (enabled by your admin), ChatGPT may be able to access and summarize them. This depends on your Microsoft 365 plan and whether meeting transcription is enabled for your organization.

Yes. On ChatGPT Team and Enterprise plans, you can share Custom GPTs that reference Teams conversations with your entire organization. Team members access the same knowledge base without needing to configure their own connections.
