How to Connect Gmail to ChatGPT (Step-by-Step)

March 26, 2026By ChatGPT.ca Team

If you manage client relationships over email, you know how quickly important threads get buried. Now you can connect Gmail to ChatGPT and query your inbox in plain English. No more searching through hundreds of emails — just ask ChatGPT what you need.

This guide walks you through the full setup: connecting Gmail, querying emails, building a Custom GPT for client communication workflows, and managing access. We also cover PIPEDA considerations for Canadian businesses handling client correspondence.

What You Need Before Starting

  • ChatGPT Plus, Team, or Enterprise — the free tier does not support connected apps
  • A Gmail or Google Workspace account with emails you want to query
  • Admin approval (if your organization manages Google Workspace via IT)

Step 1: Open ChatGPT Settings

Log into chat.openai.com. Click your profile icon in the bottom-left corner, then select Settings. Navigate to Connected Apps (or Data Sources, depending on your plan). You should see Gmail listed alongside Google Drive and other connectors.

Step 2: Authorize Gmail Access

Click Connect next to Gmail. You will be redirected to Google to sign in and approve permissions. ChatGPT requests read access to your emails — it does not send, forward, delete, or modify anything in your inbox.

Once you approve, you will be redirected back to ChatGPT with a confirmation that Gmail is connected.

Tip for IT admins:

If your organization uses Google Workspace, your IT team may need to approve the ChatGPT integration in the Google Workspace admin console under Security → API Controls → Third-Party App Access before individual users can connect their Gmail accounts.

Step 3: Wait for the Initial Sync

After connecting, ChatGPT indexes your Gmail messages. This typically takes a few minutes for most accounts. You will see a confirmation once the sync is complete. Accounts with thousands of emails may take longer.

Step 4: Query Your Emails in Plain English

Open a new chat and start asking questions. ChatGPT will search your Gmail and reference the relevant emails. Here are some examples:

  • “Summarize all emails from Acme Corp this month”
  • “What outstanding action items do I have from client emails this week?”
  • “Find the latest email about the Vancouver project budget”
  • “What did Sarah say about the Q2 delivery timeline?”

Real-world use case:

An Account Manager juggling 30 client accounts can ask ChatGPT to summarize all unresolved requests across their inbox, identify which clients have been waiting longest for a response, and draft follow-up emails — turning a 60-minute inbox review into a 10-minute workflow.

Step 5: Build a Custom GPT with Gmail Knowledge

For repeatable workflows, create a Custom GPT that uses your Gmail as its knowledge base. This turns ChatGPT into a dedicated assistant that follows your team's specific client communication process every time.

  1. Go to Explore GPTs in the ChatGPT sidebar
  2. Click Create in the top right
  3. Name your GPT (e.g., “Client Communication Tracker”)
  4. Write instructions that define your follow-up criteria, priority levels, and summary format
  5. Under Knowledge, connect your Gmail account
  6. Test with real questions, then publish to your team

A Custom GPT is especially useful when multiple team members need the same workflow — tracking client requests, preparing account summaries, or ensuring no follow-up falls through the cracks.

Step 6: Manage or Disconnect Access

To revoke access, go to Settings → Connected Apps and click Manage next to Gmail. You can disconnect entirely or adjust permissions. Disconnecting removes ChatGPT's ability to read your emails immediately.

Frequently Asked Questions

On ChatGPT Team and Enterprise plans, OpenAI does not use your data for model training. Your emails remain private to your workspace. For maximum security, use the Enterprise plan which includes SOC 2 compliance, SSO, and admin controls. If your emails contain personal data covered by PIPEDA, review OpenAI's data processing terms before connecting.

No. The ChatGPT Gmail connector provides read-only access. ChatGPT can search, summarize, and analyze your emails but cannot send, forward, delete, or modify any messages in your inbox.

The sync indexes your recent email history. The exact lookback period depends on your account size and ChatGPT's connector settings. For most business accounts, you will have access to several months of email history — enough to cover active client relationships and ongoing projects.

Yes. The Gmail connector is available on ChatGPT Plus ($20 USD/month), Team ($25 USD/user/month), and Enterprise plans. The free tier does not support connected apps. For Canadian businesses managing client communications, Team or Enterprise is recommended for shared workspace access.

ChatGPT can read text-based email attachments like PDFs, Word documents, and spreadsheets. The connector focuses primarily on email body content and metadata (subject, sender, date). Large or image-only attachments may not be fully indexed.

Yes. ChatGPT supports multiple connected apps simultaneously. You can connect Gmail, Outlook, and other supported services and query emails across all of them in a single conversation.
